Outgrowing your reorder spreadsheet?

Moving from a spreadsheet to Posto

Posto does the math your spreadsheet does, for every product, every day, from live Shopify data. Then it turns the answer into purchase orders. Bring your suppliers, costs, and past orders over by CSV, and check every row before anything saves.

Why switch from a spreadsheet?

A spreadsheet is free, flexible, and yours, and it's how most stores start reordering. It works well with a short product list, one or two suppliers, and steady sales.

It gets harder as you grow. Sales and stock change every day, but the sheet only knows what you last pasted in. Sold-out days look like no demand, orders already on the way get forgotten, and one person ends up being the only one who understands it.

Not sure yet? Posto's free plan covers one supplier, so you can run both side by side and compare the numbers.

What should you bring over?

Bring these
  • Suppliers
  • Product costs
  • Past purchase orders
Include each supplier's lead time, minimum, and case pack if you have them. They make every recommendation more accurate.
Leave these behind
  • Sales and stock columns
  • Reorder formulas
Posto reads sales and stock straight from Shopify and does the math itself, so there's nothing to paste in or keep updated.

How does the import into Posto work?

1

Suppliers first

Upload your supplier list using Posto's template, or add suppliers one at a time with a name, email, lead time, minimums, and case packs. Costs and orders connect to them, so start here.

2

Then costs

Upload a sheet of SKUs and what you pay for each. Posto matches each SKU to a product in your store and shows you the result before saving. Anything it can't match is listed and skipped, never guessed.

3

Then past orders

Upload past orders so you can see what you ordered last time and what's still on the way. Orders that arrived also count toward each supplier's measured lead time. Importing never changes Shopify inventory, and open orders can be received in Posto when they arrive.

Column names are matched flexibly, so your own headers usually work as they are.Up to 2,000 rows per import.Run it again and records update instead of duplicating.

Short on time? Start small

You don't have to bring everything over on day one. Posto's first forecast runs from your Shopify sales as soon as you install. Start with your supplier list (a name, email, and lead time is enough), then add costs and past orders whenever you're ready.

Questions from spreadsheet users

Is Posto's math the same as my spreadsheet's?+

It's the same kind of math: average daily sales, lead time, and safety stock. Posto also leaves out sold-out days, counts what's on order, builds in Black Friday and the holiday peak, and once 3 orders from a supplier have arrived, uses how long they really took. Every number shows its working, so you can check it against yours.

Can I keep using my spreadsheet?+

Yes. Many stores run both for a while. And your data is always yours: you can export everything Posto stores, as one zip of spreadsheets, at any time.

My spreadsheet has supplier details in it. Will they import?+

Yes. Posto's supplier template takes a name, email, lead time, and notes, and its cost template takes each product's cost, supplier SKU, minimum, and case pack. Copy your columns across and Posto previews every row first.

What if my spreadsheet doesn't have past orders?+

That's fine. Posto forecasts from your Shopify sales, not your order history. Past orders that arrived do give Posto your suppliers' real delivery times, so they're worth bringing if you have them, but you can start without them.
